Business Central Licensing and Pricing in the UK: A Finance Director's Guide
For most UK businesses, software licences are a significant part of an ERP system’s total cost of ownership. The good news is that Business Central licensing is much simpler than that of most ERP systems. You pay per user, per month, with a few licence types. Still, choosing the right mix makes a real difference to your budget. This guide explains the licence types, the current UK prices in GBP, and how the new AI agents are billed.
Key takeaways for leaders
- Business Central is licensed per named user, per month. Most users need Essentials, and only some need Premium.
- Microsoft’s UK list prices are £61.50 per user per month for Essentials and £84.60 for Premium, paid yearly and excluding VAT.
- Team Members licences, at £6.20 per user per month, suit users who mainly view data, approve documents or enter time.
- Standard Copilot features are included, while AI agents are billed by consumption in Copilot Credits.
- The right licence mix, not the list price, is what drives your total cost.
The Main Licence Types
- Essentials: covers finance, sales, purchasing, inventory, warehouse, projects, CRM basics, HR basics and more. This is the right licence for most full users.
- Premium: everything in Essentials plus Manufacturing and Service Management. In a single environment, every full user must have the same licence type, so if you need Premium functionality, all full users need Premium.
- Team Members: for employees who mainly read data, approve documents, update existing records or enter time sheets.
- Device: for shared devices such as a till, a warehouse scanner or a shop-floor PC used by several people.
External accountants and partner administrators can usually get access without a paid licence, which is helpful if your accountancy firm prepares your year-end accounts.
Current UK Prices
According to Microsoft’s UK pricing page, list prices are currently:
- Essentials: £61.50 per user per month
- Premium: £84.60 per user per month
- Team Members: £6.20 per user per month
Prices exclude VAT and assume an annual commitment. Microsoft last raised Business Central prices globally on 1 October 2025, when it also increased the database storage included per user. How Copilot and AI Agents Are Billed
Standard Copilot features in Business Central, such as bank reconciliation assistance, marketing text suggestions and analysis assist, are included in your licence at no extra cost.
AI agents, such as the Sales Order Agent, Payables Agent and Expense Agent, work differently. They perform tasks on their own, and they are billed by consumption through Copilot Credits. Employees who only submit expenses to the Expense Agent, for example, don’t need a full Business Central licence, because their usage is billed in credits instead. For finance directors, this means AI agents should be budgeted as a variable operating cost and measured against the work they save.
How to Optimise Your Licence Costs
- Map roles, not names. List who really needs to post transactions and who only views, approves or enters time.
- Use Team Members licences for managers who only approve and view reports.
- Use Device licences for shared warehouse and production terminals.
- Check whether you really need Premium. If manufacturing needs are simple, assembly orders in Essentials may be enough.
- Review once a year. Remove licences of employees who have left and adjust to your organisation’s changes.
Licences Are Only Part of the Total Cost
When comparing ERP options, or moving up from Sage or Xero, look at the total cost of ownership. With Business Central online, hosting in Microsoft’s UK data centres, backups, security updates and major version updates are included in the subscription. Implementation, training, extensions and support are the other main cost items. Compared with on-premises solutions, many companies save significantly on hardware, IT administration and upgrade projects.
