Year-End Closing in Business Central: A Checklist for UK Finance Teams
Whether your financial year ends on 31 December, 31 March or any other date, the year-end close is the busiest time for a UK finance team. A slow or chaotic close delays the statutory accounts, frustrates auditors and keeps the board waiting for the numbers they need. Business Central has all the tools for a fast, controlled close, as long as you follow a clear process. Here is a practical checklist for finance directors and financial controllers.
Key takeaways for leaders
- Start a month before year-end: most delays come from open items, such as unposted documents, missing invoices and unreconciled accounts.
- Run inventory cost adjustment and post it to the G/L before you close, or your margins and stock values will be wrong.
- Submit the final VAT return of the year through Making Tax Digital directly from Business Central.
- Lock the old year with allowed posting dates as soon as the books are final, and plan around Companies House and Corporation Tax deadlines.
- A documented checklist cuts the close time year after year.
Before Year-End: Prepare Early
- Create the new fiscal year in Accounting Periods so users can keep posting without interruption.
- Clean up open documents: post or delete old sales and purchase orders, shipments not yet invoiced and receipts not yet invoiced.
- Chase missing documents: ask suppliers for outstanding invoices and employees for expense receipts.
- Review customer balances: follow up overdue invoices and decide on bad-debt provisions.
- Plan the stocktake and prepare the physical inventory journals or orders.
Closing the Subledgers
- Bank: reconcile all bank accounts to the year-end date. Copilot can help match bank transactions automatically.
- Inventory: post the stocktake, run Adjust Cost – Item Entries and Post Inventory Cost to G/L, then reconcile the inventory value with the balance sheet.
- Fixed assets: calculate and post depreciation for the year and check additions and disposals.
- Debtors and creditors: reconcile the customer and vendor ledgers with the G/L, and revalue foreign currency balances, for example in EUR or USD, with Adjust Exchange Rates.
- Accruals and prepayments: post accruals, prepayments and deferred income, and check deferral schedules.
VAT and HMRC
Under Making Tax Digital, VAT-registered businesses must keep digital records and file VAT returns using compatible software. Business Central’s built-in MTD VAT feature lets you retrieve your VAT obligations from HMRC, submit the VAT return and check payments and liabilities without leaving the system. Before the final return of the year, reconcile the VAT statement with the VAT control accounts. If you move goods between Northern Ireland and the EU, complete the Intrastat reporting that still applies there.
Closing the Year in Business Central
- Close the year in Accounting Periods. This locks the period structure but still allows posting.
- Run the Close Income Statement batch job to transfer the result to the retained earnings account. If you need dimension-level reporting, choose the dimensions to keep.
- Restrict posting to the old year using allowed posting dates in General Ledger Setup and User Setup.
- Run your financial reports, such as the trial balance, balance sheet and profit and loss, and share them with the board and your auditors or accountants.
Late audit adjustments can still be posted to the closed year. Just run Close Income Statement again afterwards for the adjustment amounts.
Statutory Deadlines to Plan Around
- Companies House: private companies normally file their annual accounts within 9 months of the year-end. Companies House reforms are also introducing identity verification for directors, so check that your directors are prepared.
- Corporation Tax: the CT600 return is normally due 12 months after the end of the accounting period, but the tax itself is usually payable 9 months and 1 day after it, and earlier for large companies paying by instalments.
- Audit: agree the timetable and the list of schedules your auditors need early, and produce them straight from Business Central.
Make Next Year's Close Faster
The best finance teams treat year-end as a process to improve. Hold a short review after the close. What took longest? Which reconciliations were difficult? Many issues can be solved during the year with monthly mini-closes, approval workflows, automatic bank reconciliation and standard Power BI finance reports. A faster close means the board gets reliable numbers earlier and can make decisions sooner.
Frequently Asked Questions
Do we need to close the year in Business Central before posting in the new year?
No. You only need to create the new fiscal year in Accounting Periods. You can close the old year later, after all year-end entries are posted.
Can Business Central submit VAT returns to HMRC?
Yes. The UK version of Business Central includes Making Tax Digital for VAT, so you can retrieve obligations and submit VAT returns to HMRC directly from the system.
Can we post to a closed fiscal year?
Yes, if the allowed posting dates permit it. After posting late adjustments, run the Close Income Statement batch job again for the adjustment amounts.
Why must we run Adjust Cost before closing?
Adjust Cost – Item Entries updates the cost of sold and consumed items with the final purchase costs. Without it, cost of sales, margins and stock values in the G/L can be wrong.
A structured year-end close in Business Central saves days of work, reduces audit findings and gives the board reliable numbers sooner.
